The new direct delivery service for identity documents is expected to launch in May 2025. This will make it possible to send certain identity documents directly to your registered address – without the need for another visit to the authorities.

Which documents can be sent by direct mail?

• Passport
• eID card for EU citizens
• Electronic residence permit (different versions)

How does direct shipping work?

When submitting your application to your local authority, you will now be able to select the "direct delivery" option. Your documents will then be produced by the Federal Printing Office and sent directly to your home address by Deutsche Post.

Please note: The new procedure will only be available once it has been technically activated in the authority's IT system. Bundesdruckerei will inform the authorities in good time about the official launch ("Go Live").

Important information on passport photos from 1 May 2025

From 1 May 2025, new requirements for passport photos will apply:
The photo must be transmitted digitally to the Federal Printing Office via a cloud solution.
Connection via private photo studios is possible – provided that the studio is registered with the cloud solution of the "RingFoto" photo association.

If your usual photo studio is not listed there, please ask the studio to register in order to avoid delays in the application process.

From 31 October 2024, a mandatory notification of trips to the country of origin will apply in accordance with Section 47b of the Residence Act for

• Persons entitled to asylum
• Persons with international protection status (§ 1 para. 1 no. 2 AsylG)
• Persons with a ban on deportation pursuant to Section 60 (5) or (7) AufenthG

Obligation to provide written notification before travelling

All persons concerned must provide the following information in writing to the responsible immigration authority before travelling:

1. Who is travelling (name, reference number)
2. Destination (country of origin, exact address if applicable)
3. Purpose of the trip (e.g. family matters, health emergencies, official clarifications)
4. Duration of journey (planned period)
5. Proof of the reason for travelling (e.g. medical certificates, death certificates, official invitation)

Forwarding to the BAMF

The foreigners authority forwards the travel reports to the Federal Office for Migration and Refugees (BAMF) in accordance with Section 8 (1c) AsylG. There it is checked whether the protection status can be revoked or withdrawn.

Attention: Anyone who does not fulfil this obligation to notify risks legal consequences, including the possible loss of protected status.

With Implementing Decision (EU) 2024/382, the Council of the European Union decided to extend the existing protection status for Ukrainian war refugees for a further year, i.e. until 4 March 2026. This decision was transposed into national, i.e. German, law by the first ordinance amending the Ukraine Residence Permit Continued Validity Ordinance. This means that your residence permit will remain valid until 4 March 2026 even if the expiry date on the residence permit is before 4 March 2026. However, this also means that applications for extensions from the immigration authorities for residence permits for Ukrainian refugees cannot be considered.

If you still need a document that confirms in writing that your residence status has been extended by law, you can come to the service area of the Foreigners' Registration Office during opening hours and obtain a certificate confirming the continued validity of your residence status.

The Immigration Office uses a call system (monitor call) in its customer service area. Please take a seat in the waiting area of the Immigration Office on the ground floor and watch the display on the monitor until your appointment ID (TK) is shown. You will have received your appointment ID from your case worker. The call is only for customers with appointments. Customers without an appointment will not be called!
If you have not yet received an appointment ID (TK), please contact your case worker by telephone.

The main task of the service centre is to arrange appointments with the relevant officials at the immigration office, unless this has already been done in advance in writing or by telephone. In addition, information on matters relating to immigration law can be obtained here on the spot and minor issues can be dealt with.

In particular, the service centre realises:

• Address changes of any kind in immigration documents
• Registration of newborns on presentation of the birth certificate/proof of birth
• Acceptance of documents (passports, identity cards, birth certificates, etc.)
• Issue of various applications (such as employment permit, reallocation, issue and extension of a residence permit, declaration of commitment)
• Allocation of appointments with the responsible clerk.
• The service centre staff are only available during office hours in Building 2 of the Salzlandkreis district administration in Bernburg (Saale). As in the citizens' office, the deadline for new enquiries is half an hour before the end of office hours. Please note that the service centre is intended exclusively for spontaneous enquiries and that appointments with the immigration office staff cannot usually be arranged on the same day. Appointments should generally be made in advance with the responsible employee in writing or by telephone.

A declaration of commitment can only be submitted by appointment. Appointments are made with the responsible case worker (the first letter of the inviting person's surname determines which case worker is responsible). The application form must be sent to FD 30/Foreigners' Registration Office by email, fax or post at least one week before the appointment.
